Information we collect
- Contact and account information, including name, email address, phone number, brokerage or company, one-way password verification records, and account verification status.
- Property and booking information, including the property address, square footage, property type, occupancy, selected services, appointment times, notes, and preparation details.
- Access information you choose to provide, such as a lockbox or entry code. These values are treated as sensitive operational data.
- Business records associated with your work, including estimates, discounts, mileage, delivery links, booking history, and accepted policy revisions.
- QuickBooks Online customer, invoice, credit memo, payment, and balance information when an administrator links a booking client to a QuickBooks customer.
- Technical and security information needed to operate the service, such as session records, request identifiers, IP-derived security information, browser data, audit events, and error logs.
How we use information
Information is used to schedule and deliver services, calculate pricing and travel, prevent calendar conflicts, communicate confirmations and reminders, maintain client accounts, display billing information, support accounting reconciliation, secure the platform, investigate errors, and comply with business or legal recordkeeping duties.
Calendar and accounting connections
The owner may connect an iCloud calendar so selected calendars can block availability and confirmed shoots can be written to the designated Photo Shoot calendar. Sensitive access codes are excluded from calendar events and client messages. QuickBooks Online data is used to match clients and display relevant invoices, payments, and balances; one client’s accounting data is not shown to another client.
When information is shared
Information is not sold. It may be processed by service providers needed to run the business, including hosting and infrastructure providers, transactional email providers, Apple calendar and mapping services, and Intuit QuickBooks Online. Information may also be disclosed when required by law, to protect people or the service, or as part of a business transfer subject to appropriate protections.
Retention and deletion
Booking, accounting, audit, and communication records are retained as long as reasonably needed to provide services, maintain accurate business records, resolve disputes, secure the platform, and meet tax or legal obligations. Account or correction requests can be sent by email. Information may remain in protected backups until those backups expire, and some records may be retained when required for accounting, fraud prevention, legal claims, or documented booking history.
Security
The platform uses HTTPS, role-based access controls, protected sessions, audit records, request-rate controls, and encryption for designated sensitive fields and integration credentials. Logs are configured to redact credentials and sensitive request fields. No online service can promise absolute security, so clients should avoid placing unnecessary confidential information in free-text notes.
Your choices
You may request access to, correction of, or deletion of personal information by emailing the address above. Clients can update available profile and saved-property details from their accounts; the business owner can disconnect QuickBooks Online from the owner console. Requests are verified before account information is disclosed or changed.
Children and policy updates
This business service is not directed to children under 18. Material policy changes will be posted on this page with a revised effective date. Continued use after an update means the revised policy applies to later use.
